The goal for a successful interview for a Purchasing Agent is to assess the candidate’s ability to negotiate effectively, conduct thorough research to find the most cost-effective suppliers, and manage the procurement process seamlessly.

Situational interview questions

  • Imagine that the supplier you have been working with for months suddenly experiences a delay in delivering a critical component. What steps would you take to ensure your production schedule is not impacted?
  • You discover that an important item your company needs is currently being sold by two suppliers at different prices. How would you decide which supplier to choose?
  • One of your suppliers has let you know that they are experiencing financial difficulties and may not be able to fulfill their upcoming orders. How would you manage this situation to minimize the impact on your company?
  • You discover that some of the materials you have been purchasing are now available at a lower cost from a new supplier. How would you evaluate whether switching to this new supplier would be a good decision for your company?
  • You receive a complaint from a customer about the quality of a product you purchased from a supplier. How would you investigate the issue and work with the supplier to address the problem?

2. Have you ever had to negotiate a contract with a vendor? Can you describe the situation, your task in the negotiation, the actions you took to reach an agreement, and the results of the contract?

3. Describe a time when you had to resolve an issue with a purchase order. What was the situation, what was your task, what actions did you take, and what was the outcome?

4. Have you ever had to research and recommend a new vendor? What was the situation that triggered this need, what was your task in researching new suppliers, what actions did you take in selecting a vendor, and what were the results of your efforts?

5. Tell me about a time when you had to handle a complaint from an internal customer regarding a purchase order. What was the situation, what was your task in handling the complaint, what actions did you take to resolve the issue, and what were the results of your efforts?
