The goal for a successful interview for Property Managers is to assess the candidate’s ability to effectively manage properties, ensure tenant satisfaction, and maintain financial stability for the property.

Situational interview questions

  • Imagine that one of the properties you manage experiences a severe plumbing issue that affects multiple units at once. How would you prioritize which units to address first, and what steps would you take to coordinate the necessary repairs while minimizing any disruptions for tenants?
  • Suppose you discover during a routine inspection that a tenant has significantly damaged their unit beyond normal wear and tear. How would you assess the damage, determine the appropriate course of action (such as enforcing the lease agreement or seeking legal action), and communicate with the tenant to address the issue?
  • You receive a complaint from a tenant about persistent loud noise coming from another unit in the building. How would you investigate the source of the noise, work with the tenant causing the disturbance to resolve the issue, and keep other tenants informed and reassured that their concerns are being addressed?
  • A property you manage recently experienced a break-in that resulted in theft from several units. How would you communicate the situation to tenants while respecting their privacy, assist with filing insurance claims, and implement security improvements to prevent future incidents?
  • One of your commercial tenants requests structural renovations to their rented storefront that will require permits and potentially significant costs. How would you evaluate the feasibility of the request, negotiate the terms with the tenant, and coordinate the necessary approvals and construction work while minimizing any disruptions to business operations?

Soft skills interview questions

  • Can you describe a time when you had to resolve a conflict between tenants? How did you handle the situation and what was the outcome?
  • Could you please tell us about a difficult conversation you had with a member of your team? How did you approach the situation and what was the end result?
  • Have you ever had to deal with a challenging stakeholder or vendor? Could you explain the situation and how you were able to resolve it to everyone’s satisfaction?
  • Can you share an example of a time when you had to prioritize multiple responsibilities at once? What strategies did you use to manage your workload effectively?
  • In your opinion, what are the most important qualities for a successful property manager? Can you describe how you’ve demonstrated these qualities in your previous roles?

Role-specific interview questions

  • How do you prioritize building maintenance tasks for multiple properties under your management?
  • Can you walk me through the process you follow when screening and selecting tenants for a property?
  • In your experience, what are the most common emergency situations property managers should prepare for? How have you handled these situations in the past?
  • How do you handle conflicts with tenants or neighbors of a property? Can you provide an example of a difficult situation you successfully resolved?
  • When it comes to budgeting for property operations, which metrics do you use to assess financial performance? How do you adjust your strategy if performance falls short of goals?

STAR interview questions

1. Can you describe a situation where you were tasked with resolving a tenant dispute in one of the properties you managed? What were your responsibilities in that situation, and what steps did you take to resolve the conflict? What was the outcome of your actions?

2. Have you ever encountered a challenging maintenance issue at one of the properties you managed? What was your role in addressing the issue, and what steps did you take to resolve it? How did your actions ultimately impact the property and its tenants?

3. What was a particularly difficult lease renewal negotiation you had to handle as a property manager? What were your tactics in the negotiation, and how did you ultimately reach an agreement with the tenant? How did your negotiation skills benefit the property and the overall relationship with the tenant?

4. Can you tell me about a time when you had to manage a complex budgeting process for one of your properties? What was your approach to managing expenses and maximizing the property’s profitability? How did your management of the budget align with the property owner’s goals and objectives?

5. Have you ever had to navigate a challenging legal situation, such as a tenant dispute or eviction, as a property manager? What was your role in the legal process, and what steps did you take to ensure that the situation was handled properly and ethically? What was the final outcome of the dispute or eviction?
